I have some manual collections where the entries get deleted regularly - and I don’t change any of the files.
How do you have ‘Settings → [Server Name] → Library → Empty trash after every scan’ configured? If it is enabled (checked) disable it. Doing so will prevent temporary media unavailability (that word just feels wrong) during a scan from removing it from your library (and consequently collections).
Yes, it was enabled.
As I said I haven’t changed any of the files in this library - but it can still occur?
So now when I disable it it will never be cleared and I might have to do it manually from time to time?
Yes, it’s possible that it could occur even with no (known) overt changes on your part.
Yes, that is correct. Now, if you intentionally remove media files from your storage and scan your library, you will see a red trash can icon over the affected item(s). You would then need to manually empty trash for the library to permanently remove those items from PMS.
And to be clear, I’m not suggesting that the above setting was definitely the cause of the problem. This is more a preventive measure to eliminate it from suspicion. If the problem still occurs then you’ll have to keep digging.
Something else you may want to try is view the affected library and apply a filter for “Unmatched.” If there are any, determine why they’re unmatched and correct it.
There was (maybe still is?) a bug where multi-selecting items and adding a collection tag would not lock the tag (the little lock icon next to the tag should be orange when locked) so they were getting deleted when metadata was refreshed.
I just checked it and yes, the collection field isn’t locked!
If I lock it I can afterwards still manually add it to collections right?
It never cleaned all of my collection entries - just some.
And those who where preserved had it locked!

Looks like this bug was fixed in latest Beta PMS 1.40.0.7775…
