Issue with scanning new library files for guests to Plex account

Hello everyone!

I am finally getting around to asking for help with a situation that I believe has been an ongoing issue with Plex access – at least when I researched this a year ago.

I have a Master Plex account. I have a few friends that I give access to my Plex server via invites that get set up in Plex settings.

The problem is, when I add content to my Plex server, it takes days/weeks for that content to appear on my friends’ Plex.

The fix should be that they can click on the vertical dots next to the content folder and select SCAN LIBRARY FILES which would update whatever new content is there.

The problem is, that only I have that option under my account. Any guest accounts do not have the SCAN LIBRARY FILES option. At least, that option’s location is not the same.

What I had to end up doing was give everyone my account name and password so that they would have the SCAN LIBRARY FILES option available to them. This is not an optimal solution for me.

Am I missing something? I would like any content I put on my server to be immediately available to invited friends’ accounts. However, without giving them access directly to the master account, they have no way of scanning their library to see that content.

PS: I am aware of these instructions but they only seem to pertain to the server account – not what guests can do

Can you see the new files or are you having the same issues too? Coz this would be a totally different problem if you can see them and they can’t.

I’m gonna assume that this is a scanning problem and that you can’t see them as well.

If your files are on a network like samba, Plex can’t detect remote changes to directories (network limitation). So even if you tick the first box it doesn’t do anything. So you have to make the interval scanning more frequent. Check the 4th box and set to scan every hour or 15 minutes.

Also, there is no way for scanning to be done by clients. It’s not supposed to work like that. Just as you said, that’s an admin’s job.

I can immediately see the newly uploaded content on the admin (server) account.

The problem is that my guest accounts cannot see the new content for days.

I have the SCAN NEW FILES option in the Admin account. They don’t have that option in their account

So, the problem is, how can my guests immediately see the content I upload?

Do the scanning setting instructions you provided in the screenshot above also push newly uploaded content to the guest accounts? I had always thought those settings only work for the admin account.

What app is your Friend / Friends using for Plex?

TV apps can be slow but a power cycle can rectify that issue.

A active VPN could also cause an issue.

I would also look at your Server DNS settings on your Mac

They are all using the Plex app via Apple TV

Getting into DNS server issues is well beyond my knowledge

I was hoping there was a setting either on the Admin (server) end or through the guest app settings that would automatically push new content to all devices.

Let me add something here…

This has become such a problem that I have given my guests my server login name/password. Only THEN can they use the SCAN NEW LIBRARY FILES option. That is not available on the guest accounts.

I’m pretty sure this has come up in the past. If one of your friends is willing to try the next time new content is added, have them:

  • Navigate to the library where the content was added.
  • Ensure the “Library” view is selected.
  • Change the filter from “All” to “Unwatched” and go back to the library.
  • Clear the filter.

This should cause the app to refresh its view and show the new content. A library scan should not be necessary (the content has already been scanned into the library); the view refresh is just a side-effect of the scan.

I will give this a try and see if this forces a file scan on the guest side of Plex

I wonder if Share with a Friend will result in a Title appearing on a remote app.

Hmm… I’m not sure, I’ve never tried that. I think it would depend on what the client app did with it. If it forces a refresh of the library view then maybe, probably.
