Scanning audio/music files does NOT work

This issue has been an ongoing issue with Plex and ‘music’ files since i started using Plex many many many years ago

i have thousands of music files and audio files. These are recordings i make - they are not popular music that is available on the internet in another streaming service so the data can be downloaded via any other music services.

i have been doing this for over 10 years and i know how to tag and organize files into folders according to plex guidelines.

this is not the issue. I have libraries that are set up and have not had changes to them and they are fine.

the issue is that i am constantly adding to many of my libraries. WEEKLY i will be adding files to many existing libraries.

the files are either added to existing libraries under ALBUMS (folders on my storage devices under a top level folder corresponding to the library name.)

Often i will need to create a new album/folder and files added under it in an existing library.

So the files are tagged and moved to the correct folder/library on my storage devices and then either the scheduled scan should read them and add them or if there is no scan running i will manually scan the library.

the problem is that the Library Scan does not update consistently or correctly according to the data in the file - using either the ID3 tags and/or the filename.

I am constantly having to go and sort thru to see what didnt work. Then redo the info on the file in Plex - which really defeats the purpose of having ID3 tags and folder organization.

I have a lot of video files organized in one library and there is rarely an issue with that library … RARELY. however they come in via Sonaar.

I am really at my wits end with this aspect of PLEX… I dont understand why issues regarding files OTHER then video files are IGNORED by Plex developers.

there have been issues in the past regarding changes and affects on music files that are not 'standard ‘cd album type files’ the Loudness analysis feature was a HUGE issue for me. it took MONTHS and MONTHS for anyone to respond to my posts (i did several over that time) only when a few other users verified the same issue did Plex start to look at it. and eventually fixed it. (the loudness analysis ran on every file with no way to turn it off… i have thousands of music/audio files - my computer was DOA due to the high CPU hit).

so i am used to having issues with music/audio files ignored but this is getting old.

weekly i have to spend several hours checking thru my libraries after i have moved the new files into their libraries - hours looking to see how the files have been categorized (not according to what they should) and then re editing the data.

99% of the time the data in the filename/id3 tag is correct but Plex often ignores it - i can not see any pattern as to why this happens EXCEPT that they are NEWLY ADDED. these are all mp3 files with some wav occasionally.

all the new features are interesting but honestly the plexamp app does me NO GOOD if i cant find files and my newer files.

this is an ongoing issue but it seems there is not much priority for users who have music/audio files that are not ‘standard’ or popular music you can find on spotify or other music services (where the data is brought in via Plex).

Is your audio library a Plex Premium library or a regular ( last.fm)?

What kind of audio files are you talking about?
Is it regular music, or are these kind of mixtapes or podcasts or audiobooks?

Could you give an actual example of your folder organization and the file names you are using? Maybe of an album that is being ‘ignored’ by Plex?

What is your server platform?

1 library info
-basic music library
-agent personal media artists

2 file format
-mp3 and some wav
-original recordings not from cds
-each file is a single recording

  • file lengths ranging from 30 minutes to 6+ hours.

3 folder structures

\album_name\album_name S1\S01E01-date.mp3
each week the new file (episode) is moved into the series folder after being tagged the same as the previous ones

when s2 comes along
\album_name\album_name S2\S02E01-date.mp3

etc

the problem occurs either when a new series folder is added on the storage device and then the new file/episode is moved into it or when a new episode is added to an existing series folder

the scan 80-90% of the time will not use the data in the file (ID3 tags or filename)

it will bring the file in with varying data - i cant figure out a pattern when this happens - sometimes it will bring in just the genre as the album name in the correct library and put the episode in there but other times it will put the file in the right album but will put the wrong series …

i DO check the INFO and XML file and the data is always correct (because i do that in MP3tag and follow the same schema for all these files).

its incredibly annoying and time consuming.

I just made some ID3 Tag changes to a series - I changed the filenames and some of the tags including album… to test but also it needed to be done.

so how to update that?
i did refresh metadata but i dont think that will read the new file info
scan is running its normal scheduled process and there is no easy way to stop it because if you stop one library scan it moves to the next one.

i guess i can try a command line scan but that is kinda pita to do for one folder of files… or wait over til this scan process completes and comes back to this library which could be over an hour…

any suggestions?
this is the kind of frustrating thing that I am talking about.
btw in Sonaar if i rename files or bring in a new episode manually i can start a rename check for that one show and it runs irrespective of any other process that is running on Sonaar.

cant plex add something like this? to update a library or one album (folder with files) as a SEPARATE process that runs without waiting in queue after the current scheduled scan?

that would help my issue - since i can add my files and then run the scan just on that library or album …

The naming convention for tv shows is of no use for audio files…

You must find a way to adopt the
Music > Artist > Album > Track
schema to your needs.

Could you explain a little more what kind of recordings these are?
Maybe we can find a way together?

i have been doing this for almost ten years.

Music/ Artist / Album /Track
i DO have that information in place.

in my id3 tags
artist = album
track is the lowest item (the file)

ID3 Tags
artist = album = albumartist in this example, they are all ‘The News Quiz’
title = SXXEXX date.mp3
track number = sequential starting with 01 for season
comment = album + title

this has worked for years and years

again the problem is that Plex scan is NOT picking up NEW ITEMS in the libraries

so new ‘tracks’ are not being added
a new album (subfolder) is not being seen.

it usually gets to the point that i have to delete the library,
wait hours to make sure its clear and then recreate the library.

This could be the critical issue.
Try using something different as the album name e.g. ‘season 01’.

Also, your file names don’t start with a track number. S01e01 doesn’t count as a track number.

sorry the album is different.
album is always showname S01 etc

i do track as a separate id3 tag
i have always used the S01E01 format …

so i am curious. i am telling you that the scan is not bringing in any new items and yet the current items are there with this exact structure and its one i have used for many years… and yet you think the issue is the naming?

I think its the Scanning… its not recognizing that there are NEW files in the folders… it happens with ALL the new files.

i think its a DATE issue… not looking to see new dates…

do you know how the scan process works ?

Yes. There are many many examples, where a non-conforming naming style works at first, but when more items are added, it starts to break down.

sorry its been a busy few weeks. so i will try renaming a few folders and see how that goes. the thought of renaming all my libraries (i have several dozen) is daunting

If you already use mp3tag, you should take a look at its function to transform
Tags > filename
Filename> tags
Tags > tags

I have found it invaluable.
