Users missing in managed library access, what to do?

I just have an unusual issue. I have active users on my plex account that I have shared with however they do not show up anywhere on my server. I assumed they would show up in managed library access but they do not. Has anyone else seen this, I see about 9 users within “Managed Library Access” however I have about 6 more users I do not see. I have Plex app on my phone, I don’t see them there either.

I can only see 9 shared users on your account.
From where do you draw the conclusion that you have more?

I’ve talked to other friends that aren’t on the “managed” list however their content I initially shared when I gave them access is working for them. I honestly wouldn’t address this if I wasn’t sure I have others that aren’t included. I noticed they were not on my list and reached out to ask if they deleted their account. They said they did not and were actively watching the content I shared with them when we initially set them up. To go deeper I have WebTools-NG and curiously people I have removed weeks ago because they no longer wanted access still show up in that tool still while other currently active users do not.

If I select all users I am missing some active users while others that were removed weeks ago are still listed.

There are actually two lists.
One is for members of your Plex Home, which includes “Managed Users”. https://app.plex.tv/desktop/#!/settings/plex-home
However, you don’t appear to have any managed users (and therefore no Plex Home, either).
The other list is what you are referring to: https://app.plex.tv/desktop/#!/settings/manage-library-access

There are only 9 other regular plex accounts listed with whom you shared your media.
Please reach out to users who are not among those 9, and ask them what is shown as the Plex user name in their Plex apps. (in the TV-style apps it is usually at the top of the left side bar, in the web app you find the user name under the avatar picture in the top right corner).

Do also take a look at the list of your Plex Friends.
(in the Plex Web app, click on your avatar picture in the top right corner, then on “View Profile”, then scroll down to the bottom and lick on the header “My Friends”)
In the following view, there is a dropdown selector at the top-left, which you can switch from “My Friends” to “Friends with Library Access”.
Does this list also only show 9 accounts or are there more?

Please fetch this list freshly, then send it to me as Personal Message.

I will take a deeper dive this evening and look at what you are referring to, I am currently not near the server. I will tell you I am the only user in Plex HOME

You don’t need to be, as long as you have a working web browser and your plex user credentials on hand.

My Friends vs. Friends with Library Access is the same.

Does it also only show a count of 9?

Yes, that is correct

Then

Please reach out to users who are not among those 9, and ask them what is shown as the Plex user name in their Plex apps. (in the TV-style apps it is usually at the top of the left side bar, in the web app you find the user name under the avatar picture in the top right corner).

OK, I will do that this evening when I get a chance to contact them.

After refreshing the database last night and doing a cleanup as well as optimizing the server, it all seems to be a lot better and the active users and friends are all there again although the tool above still shows accounts that were deleted a while ago. Is there anyway to permanently remove those accounts from the database? I’m just trying to streamline and fix any inconsistencies.

WebTools might be querying an old API, which was used in the past. Back then, being Friends and sharing media was the same. Which is no longer the case. Those users might still be your friends, without you sharing anything with them.

They are neither but its not a big deal, just was curious if there was a way to get rid of them permanently
